What is factoring?

Factoring services to maintain the blocks and developments where we have an interest. This is where we have tenanted properties or where Sanctuary have been the initial developer.

We provide factoring services as an agent on behalf of homeowners. 

Repairs and maintenance of common elements of blocks and developments which can include:

  • Day-to-day repairs.
  • Cyclical maintenance – close painting for example
  • Reinvestment works – Roof replacement, rendering, door entry systems for example.
  • Grounds maintenance and communal cleaning.
  • Compliance checks in communal areas

Repair responsibilities for factored owners

As a homeowner, there will be repairs to your home that will be your responsibility. The exact responsibilities are explained in your title deed. The information below is only intended to be a helpful guide.

There are many factors which determine who is responsible for repairs and maintenance, but in general terms, the following applies to leasehold properties.

Communal repairs

Most communal areas will be the responsibility of Sanctuary. However, some shared areas or services will be your responsibility to maintain and/or repair.

Please refer to your tenancy agreement for more details. 

Our responsibilities include:

  • communal doors and entrances
  • roof and guttering
  • lifts
  • communal heating
  • TV aerials
  • shared stairways, balconies and access paths
  • communal lighting
  • fire safety issues.

Home insurance

What is home insurance?

Home insurance provides financial protection to you in the event of something happening to your property and/or belongings. 

Depending on your policy you might be covered for theft, fire, flood, loss, accidental damage and more.

There are two types of home insurance: 

  • Buildings Insurance
  • Contents Insurance

Consultations

When there are communal works required in mixed tenure or fully factored blocks in Scotland, title deeds may dictate we are required to consult with owners before works go ahead. 

When works are identified by either compliance (through remedials) or property services basic checks are required. The requirement to consult will be driven by individual property and block title deeds.

We will only do communal work and consult with owners where we also operate as the factor.

Each property and owner generally gets one vote per property they own in that block. If we do not receive a majority yes vote, often this means that Sanctuary are not allowed to progress with the communal works. 

Owners will be given to opportunity to look at the plan of works, the reason for the works and any possible consequences of the work not being carried out in the event of a “no vote”

Emergency “make safe works” in general terms will not require consultation.

The factoring team will collate all votes and let each affected owner know the outcome of the vote.

Disputes

Factored owners can dispute charges raised in invoices relating to the factoring service they receive, and other related charges including repairs.

When you raise a dispute you will still be liable for the rest of the amount in the invoice.

The factoring team have regular disputes meetings and your dispute will be discussed at the next available meeting.

The team may require extra information from other departments but you will be notified within 5 working days of the meeting the outcome. 

Pay your Factoring invoice

There are many ways you can pay your factoring invoices:

  • Paying via your online banking is one of the most convenient ways to pay your invoice.  Our account details are printed on your invoice, or you can contact our Factoring Team who can assist you.
  • Another convenient method of payment is by direct debit or standing order. Please contact our Factoring Team who can assist you.
  • Pay using your debit or credit card by calling our Factoring Team on 0800 131 3348.
  • Pay by cheque to the address on your invoice and make cheques payable to ‘Sanctuary Scotland’.
  • Pay using your Allpay card.  If you need a new or replacement card, please contact our Factoring Team.
  • Please quote your factoring account reference for all payments, which can be found on your factoring invoice

Selling your property

If you are planning to sell, or are in the process of selling your property, you must inform your solicitor that your property is factored and provide them with our Factoring Team contact details. Your solicitor must then contact us in writing no less than 7 days prior to your sale completing advising of the proposed date of sale and who the property is due to be sold to. We have a sales procedure which will be followed on receipt of the information from your Solicitor. Please contact our Factoring Team if you would like further information.
